We are seeking a Temporary Facilities Coordinator for a 2 month contract to assist with day-to-day operational duties in our office.
This role is crucial for maintaining an efficient and professional work environment.
Ideal candidates are those looking for a dynamic, short-term opportunity to gain substantial experience in facilities management.
Duties:
- Collect, sort, and distribute mail and packages to ensure timely delivery to staff.
- Arrange conference rooms according to specific requirements for meetings and events, including the setup of furniture and technology.
- Lead and complete projects aimed at improving the office environment and enhancing operational efficiency.
- Manage the general inbox, ensuring all incoming emails are responded to promptly and directed to the appropriate departments.
- Assist staff with shipping and receiving needs, ensuring all shipments are handled accurately and efficiently.
- Order and maintain office and grocery supplies.
Monitor inventory levels and ensure essential items are always stocked.
- Stock and organize the refrigerator and other common areas to maintain a clean and professional environment.
- Conduct regular inspections to identify potential issues or areas for improvement.
- Coordinate with external vendors and contractors as needed.
- Assist in the development of budgets for facility-related expenses
Experience:
- Proven experience in office management, facilities coordination, or a similar role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize in a fast-paced office setting.
- Proficiency in using standard office software and equipment.
- Demonstrated ability to thrive in a professional office environment and effectively communicate and collaborate with staff at all organizational levels.
- Strong knowledge of Microsoft Office applications, especially Outlook, with proficient skills in managing and organizing emails.
