Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners.
HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.
HJF is seeking an Administrative Assistant III to provide administrative and clerical support to the CDP's Executive Office.
The incumbent works under the administrative direction of the Sr Program Manger, or designee, who makes assignments in terms of broad functions and areas of responsibility and is responsible for providing administrative service to the Executive Office in planning, and carrying out the broad and diverse policies, plans, and programs of the CDP.
The employee exercises considerable latitude and professional judgment in determining, planning, and carrying out assignments.
Much of the employee's work is self-generated based on the intimate knowledge of the Vice President's policies, plans and viewpoints.
This position will be in support of the Uniformed Services University of the Health Sciences' (USU) Center for Deployment Psychology (CDP), which is based in Rockville, MD.
The Executive Assistant contributes to activities related to CDP's mission, which is to lead the development of a community of culturally mindful and clinically competent providers through the delivery of high-quality training and education, the convening of experts, and the dissemination of research-based treatment and the latest topics in military behavioral health.

CDP strives to be the central hub for the Military Health System (MHS) in the development and implementation of training and education to clinicians in order to ensure that all service members, veterans, and their families receive quality behavioral healthcare that meets their unique needs.
Note:
This work site requires that Non-US Citizen incumbents have lived in the US three out of the past five years.
Responsibilities:
Responsibilities Receives incoming telephone calls for the CDP Executive Staff.
Determines if a call can be referred elsewhere, and obtains required background information, if necessary.
Maintains a calendar of appointments and schedules appointments and conferences without prior clearance based on knowledge of the Executive Office member's schedules and previous commitments.
Makes necessary arrangements for conferences and meetings.
Collects and prepares materials for meetings.
Makes necessary arrangements for conferences and meetings.
Assists Executive Office member's with travel orders, ensuring that the authorizations and reports are correctly entered into the travel system.
Reviews and replies to incoming correspondence.
Drafts replies to inquiries.
Prepares correspondence as requested.
Collects and prepares a variety of materials that will be used at scientific talks and lectures, including preparing PowerPoint slides, graphs, tables, charts, and other data for incorporation into the presentation.
Assists Executive Office with preparation of speeches and reports by gathering material for use in supporting presentations.
Edits material, suggesting rewording and/or arrangement of material as appropriate.
Responds directly and independently to various inquiries, as appropriate.
Meets with CDP management/administrators and other key personnel to obtain or exchange information relevant to the numerous areas of interest and relevance to the CDP.
Handles detailed matters that are highly confidential and critical.
Makes high level contacts of a complex nature both inside and outside HJF and USU, requiring a high degree of tact, discretion, and diplomacy.
Required Knowledge, Skills and Abilities Knowledge of the duties, priorities, commitments, policies and program goals of the Executive Officers they support.
Skills in oral communication to interact with all personnel regarding the business of the CDP.
Ability to provide customer service in a culturally sensitive, accessible, and inclusive manner that demonstrates a comprehensive understanding of diversity, equity, and inclusion.
Comprehensive knowledge of the Executive Office's views on issues and preferences to handle all routine and non-critical issues on his/her own ability.
Knowledge of the duties, priorities, commitments, policies and program goals of CDP Executive Officers.
Excellent word processing/typing skills and extreme attention to detail.
Fluency in computer usage; Fluency in the use of Google (Docs, Sheets, Slides, Calendar, etc.
) and Microsoft products (Word, Excel, PowerPoint, etc.
).
Ability to anticipate needs, take initiative and follow through.
Experience supporting executive level personnel.
Physical Capabilities Lifting:
Requires lifting materials up to 10 lbs.
Qualifications:
Work Environment This position will take place primarily in an office setting.
Education and Experience Associate's Degree required.
Minimum of 6-8 years experience required.
Compensation The likely salary range for this position is $26.
30 USD per hour to $34.
62 USD per hour based on a 40-hour work week.
This is not, however, a guarantee of compensations.
Final compensation will be determined based on market analysis, experience, and education.
Some positions or sites may require that the incumbent be fully vaccinated against COVID-19.
Proof of vaccination may be required.
Employment with HJF is contingent upon successful completion of a background check, which may include, but is not limited to, contacting your professional references, verification of previous employment, education and credentials, a criminal background check, and a department of motor vehicle (DMV) check if applicable.

The check will bounce and the victim is left responsible.
