The Client Service Team Operations Associate will support a client facing team that manages and develops strategic relationships with investors and their advisors.
The ideal candidate will integrate themselves in substantially all Client Service team business processes to enhance coordination, transparency, efficiency, accuracy, and timeliness of its activities.
The Operations Associate will be a key member and will need to develop robust relationships with multiple senior team members while also serving stakeholders both within and outside of ASB.
Our mission is to generate superior risk adjusted investment performance through proven real estate investment strategies and this role will play a key part in the delivery of this goal.
What you'll be doing:
Support the Client Service team's marketing, client on-boarding, investor in/out-flow tracking and its activity reporting to ensure delivery of high quality, timely and accurate client service to internal and external stakeholders.
Marketing support to include coordinating input and feedback from internal and external parties (PM, CIG, Legal and Compliance) for timely quarterly client communications, including involvement in the coordination of the following workstreams:
Quarterly Real Estate Market bullet points, Quarterly Fund performance bullet points, Quarterly Market Commentary and Flash Report, Quarterly Client Investment Performance One-Pagers, ASB Firm and discrete Fund marketing flyers Master presentation slide decks, Other, as identified.
While senior team members may be responsible for content quality and delivery of final product, the successful candidate will play a critical role in ensuring adherence to agree upon timeframes for delivery.
The candidate will regularly interact with ASB's senior management, portfolio management, capital investment and accounting/finance teams.
Demonstrate customer service excellence while coordinating with clients and their agents and resolving user account access for investor web portal.
Will also coordinate quarterly compliance audits for changes to client access.
Coordinate with accounting and legal departments through the onboarding process for new clients (including preparing draft correspondence for capital call notices and associated wire instruction confirmations.
Track incoming/outgoing capital, including involvement in the administration of any queue in coordination with CCT, SS and Accounting, when applicable.
Coordinate compliance with operations policies and procedures regarding recordkeeping and audits.
Salesforce uploads of contact information, market values and performance data Day-to-day responsibilities also include:
Serving as the gatekeeper and action agent for clientservices@asbrealestate.
com, (team email inbox) where we log, assign and track all inbound investor requests, (e.
g.
, audit requests).
Managing client account recordkeeping in our electronic file system and our Salesforce database (our centralized database of and communications tracking system for communications with all existing investors, consultants and targets); Be able to print and bind presentation books as back up to Graphics Coordinator Coordinate and manage constant contact distributions as back up to Graphics Coordinator Assist in preparing and submitting travel expense reports, check requests, etc.

Collaborate and working closely with other members of the client service team to ensure operational consistency across systems applications and thoughtfully leverage their relationships, time, and expertise in communicating with existing and potential clients.
Coordinate external contractors and provide on-site logistical support for in-house client meetings and/or annual events such as Investor Advisory Committee meetings.
External contractors could include transportation, catering, entertainment, rooming list, menus, A/V, etc.
Become facile in the use of the report writing capabilities within Sales Force to generate useful business and management reports.
Produce bi-weekly client service team dashboard for team meetings.

Responsibilities:
Based on capacity, and in coordination with the client service team group head, the candidate will, from time-to-time, need to support the fulfillment of team priorities in functions primarily covered by the Graphic Design Coordinator and/or the RFI Specialist.
Given the variability of the workload for the Graphic Design Coordinator, this could, at times, make up a considerable portion of the role.
Desired Skill Set:
Support-oriented collaborative team player, motivated to complete tasks and succeed in a fast-paced knowledge-based business while supporting and taking direction from four client relationship managers.
Proven success in setting and achieving goals.
Excellent written and verbal communication skills and the ability to effectively communicate with all levels of internal and external clients.
Pro-active, organized, and energetic self-starter with the willingness to work hands-on to develop and execute a variety of capital raising support and client relations activities.
Ability to make decisions, prioritize and manage multiple tasks and meet deadlines in a fast-moving environment.
Computer proficiency with strong emphasis on Word, PowerPoint, Excel, and understanding and administration of relationship databases, such as Salesforce.
Ability to work extended hours as necessary.
EDUCATION/BACKGROUND:
Bachelor's Degree in marketing, finance or business preferred or 2-4 years of commensurate work-related experience.
