TASKS/SERVICES
Coordinate the Fellowship program for the DIR Cores, including: organize interviews, prepare travel orders for the interviewees and corresponding with interested applicants through e-mail or telephone; prepare offer letters to accepted candidates and rejection letter to the rest.
Update and maintain files for DIR Cores.
Prepare credential packages for fellows who perform clinical duties for the DIR Cores.
Coordinate and set up meetings, workshops and courses for staff.
Work with staff to organize, promote and implement major fellows' career events such as job fairs, career symposia, educational opportunities and Fellows Conferences.
Prepare personnel packages for research, visiting, clinical and summer student fellows, new and renewing fellows and personnel at all job levels.
Work with staff to orient and transition researchers to NIH.
Coordinate personnel packages, actions and PMAP ratings; maintain related filing system.
Prepare and distribute minutes of the DIR Core staff meetings.
Coordinate and complete arrangements for visitors who perform professional services for DIR Cores, including travel and scheduling for all aspects of the visit.
Generate transportation arrangements and prepare all paperwork for domestic and foreign travel; follow up on travel arrangements.
Make shipping arrangements for the transportation of research materials to outside researchers both within the U. S. and overseas; assist with purchasing for the DIR Cores.
Prepare a variety of items such as travel requests, professional service orders, requests for sponsored travel (Form 348), outside activities (Form 520), official duty memoranda, training requests, individual/mass mailings, correspondence, reports and various forms.
Develop, maintain and utilize various administrative databases.
Maintain and update CVs and bibliographies of fellows and other staff.
Compile data; create and maintain slides for presentation utilizing computer programs.
Update/maintain calendars and shared calendars for staff; schedule conference rooms.
Provide support with timekeeping duties.
Track, record and direct manuscripts to reviewers.

REQUIRED
Bachelor Degree in a related discipline.
Minimum of three (3) years of related experience.
Expertise with Microsoft office Suite (MS Word, Excel, Outlook) and knowledge of SharePoint.
Experience with NBS and GovTrip
Ability to maintain accurate and detailed records.
Strong communications skills, both oral and written.
Excellent interpersonal, analytical, organizational and time management skills.
Ability to multi-task and pay close attention to detail.
Self-motivated, with strong organizational and problem-solving skills.

Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
